September 6, 2011 Project Graduation Meeting Minutes

Meeting called to order at 7:00 with an opening prayer by Pat Pierret.

Pat introduced herself and Cindy Jung, senior moderator.  Parents then did introductions.

Stated during last meeting on August 16 that all parent volunteers need to have the Keeping Children Safe up-to-date.  Everyone needs to be certified at least through May. During the October 4^th meeting there will be a class for either those who need the initial training or renewal.  More info to come. 

First E-Blast has been sent out.

Still need several committee chairs: Senior Wall, Communications, Senior Picnic, Senior Show, etc.  Contact Pat Pierret if interested.

Financial Report given and filed with Secretary.

o   Used Uniform Sale to date brought in $7,415.17.

o   Afterschool Treat Sales to date brought in $89.00.

o   TX DoT Grant has been received and deposited of $500.00.

o   Reimbursement form turned into Pat Pierret for Administrative approval.  Make copies of Deposits.  One copy goes to the deposit box in the teacher workroom and the other copy goes to Project Graduation.

·       Break up into working committees.

October 4, 2011 Project Graduation Meeting Minutes

Meeting called to order at 7:00 with an opening prayer by Pat Pierret.

Pat introduced herself and Cindy Jung, senior moderator. 

Reminder of forms and fees to be completed and sent to school by Nov. 1.

Committees:

• Facebook Page – If someone is interested in administering a Facebook Page for PG ’12, please contact Pat Pierret.
  
• Senior Video will be made by senior students in the Digital Graphics and Animation class as a project in the spring.
  
• Senior Show - Cindy Jung spoke. Linda Smith will coordinate the parents’ side of the show. Cindy Jung will coordinate the students’ part. Parents will be needed for ticket sales, publicity, refreshments, silent auction and help with fashion show component at the stores.

Next meeting is Tuesday, Nov. 1.

January 10, 2012 Project Graduation Meeting Minutes

Meeting called to order at 7:00 with an opening prayer by Pat Pierret.

Pat informed every one of the new emails for the faculty and staff at NCHS. 

Reminder of forms and fees to be completed. Remind people to turn them in and let parents know that financial aid is available. Also, parents can pay in increments as needed.

• Financial Report – Trudy Miller
  
• About half the student fees have been paid. Afterschool treats have generated about one-third of their budget 

      Committees:

• Senior Wall: Please send pictures of your student in activities that they enjoy.
  
• Used Uniform Sale: It was suggested that we might have another sale this school year. Angie Lala, committee person for this year’s sale, suggested that a sale during this school year would hurt the proceeds for the next class. It was decided that there would be no additional sale for class of 2012.
  
• Picnic: They have some volunteers, but need lots more. The food will come from Ben E. Keith. Desserts will come from parent donations. 
  
• Senior Show: Cindy Jung passed around committee explanations and sign up sheets. The students will nominate themes this week. Student art work will be used. Everyone is invited to participate. 
  
• Lock-In: Susan is establishing chairs for positions.

Next meeting is Tuesday, Feb. 7.

February 7, 2012 Project Graduation Meeting Minutes

Meeting called to order at 6:03 pm

Introductions were made

Opening Prayer 

Trudy was not available to provide a financial report, however, committees report some earnings:

• Increase in sales for smoothies
• No Money spent so far on events
• Forms and fees need to be submitted. Those needing it can ask for financial help. Email Pat if not sure forms have been turned in.

Questions – none

Committees:

• Rhonda –Smoothie Sales
• Sales falling.
• Taking break for lent. Pick up in April for few weeks then be done.
• Asked for donation of drink to offset spending money on drinks.
• Angie – updated bulletin board with pics. Asked for pics of students doing after school activities.
• Linda Smith – Senior Show – had first meeting. 7 weeks until show.
  • Theme is set and working on art work.
  • Have models.
  • Will need help in solicitation of silent auction vendors.  
  • Mr. Duarte will be helping with the senior show.
  • Looking for major live auction items: prom packages, dorm packages. Needing 10-11 big packages.
  • Asking for someone who works with publisher (any program similar) to put a program together. Contact Linda Smith is you can help.
• Susan – Alley Cats - all but 2 sub-committees for lock in have been formed. Looking for door prizes. Things to take to college instead of big ticket items. Want more gift cards and cash.
• Belinda – Picnic – waiting for senior show to be done. Will be asking for dessert donations. There is a sign up list for the picnic which will be held May 17^th.

• Trudy noted that there has not been much activity, but we are about half way to our budgeted goal

  • Rhonda –Smoothie Sales
    • Will begin sales again after Lent.
    • Cake balls sold very well
  • Angie – Senior Wall
    • will be updating with dated bulletin board with pics from fashion show
  • Linda Smith – Senior Show
    • Ticket sales have begun
    • Food arrangements have been made
    • Elsa spoke about the program for the event
    • Fittings are happening
    • Auction items are set except for one mani/pedi for prom package
    • Decorations will meet Sat., Mar. 24 , to set up
      • Volunteers needed
  • Susan – Alley Cats
    • Lots of activities at Alley Cats
    • Arranging to have comedian Evan Wecksell at the event
  • Belinda – Picnic – waiting for senior show to be done. Will be asking for dessert donations.

Meeting called 7:10 pm

Opening Prayer

Trudy Miller – absent – no financial report

Reminder:

·         Forms need to be turned in. Need to know how many people are going to Camp Thurman.

·         Any volunteers need to have their Keeping Children Safe up to date. If you have any questions check in the front office.

Uniform Sale:

·         April 27^th is the last day Seniors wear their uniforms. Drop boxes will be located at the school for clean uniforms to be donated.

Senior Show:

·         Participants were recognized. No official totals since money is still coming in but confident committee kept event under budget. Pictures are still being worked on.

Bake Sale:

·         Bake Sale will continue until the end of April.

Picnic:

·         Volunteers are still needed. Paul Combest will take care of buses. A Senior Mom has stepped up to be volunteer nurse for event. Nolan will provide a First Aid Kit. Working on a bad weather plan and possible donation for desserts, an Ice Cream truck.

Lock-In Committee:

·         Meet after PG meeting. No definitive plans have been made since waiting on official budget after Senior Show.

General Info:

·         Rhonda Schock – presentation on scrapbooking for memories through Creative Memories. Workshop Friday and Saturday. National Scrapbook Day 4/28/2012 all day even $25 from 8:30 – 8:00 at the Marriott.

·         Purchase a Commemorative Brick

·         Purchase 50 year Anniversary Ornament

·         Baby Pics need to be sent to Cindy Jung: cjung@nchs.org. You can scan a baby pic, first day of school and senior pic. Each student will receive a DVD at lock-in.

·         Jan Patterson doing banners for Senior Banners for the Athletics banquet. $25 includes supplies. Workshops April 11^th, 19^th, 30,th, and May 2^nd by concession stands from 3:30 – 7:00 pm.

·         Trudy Miller – financial report

o   We are where we should be with income and expenses. Senior Show did better than expected.

·         Reminder:

o   Forms need to be turned in. Need to know how many people are going to Camp Thurman.

o   Any volunteers need to have their Keeping Children Safe up to date. If you have any questions check in the front office.

o   Turn in college scholarship and acceptance information to Ellie Osborne (eosborne@nchstx.org)

o   Graduation information will be sent via e-blast and hard copy this week

o   Gifts: Rhonda Schock/memory book, 50^th anniversary ornament, Viking Way brick

·         Uniform Sale:

o   Drop boxes will be located at the school for clean uniforms to be donated.

·         Rhonda Helyer – Bake Sale

o   Last day was last Thursday. Made about $1,700.

o   Rhonda donated some items

o   Reminders re what to wear, bring, etc. sent to Ms. Jung for review; need to include things like baseball and gloves, Frisbees, etc.
